If the logo is missing

  1. Look for a bar above the message that says pictures are blocked. Select Download pictures or Show images. Some apps block web pictures until the reader allows them. Your details still show as text.
  2. Wait one minute. Reload the message.
  3. Paste the signature again. Do not use Insert picture or Attach file.
  4. Insert the logo by its web address. Gmail: Web Address (URL). Address: https://pmd-email-assets.pages.dev/pmd-signature-logo-v6.png
  5. Still missing? Tell James Parker. Say which app you use.
Known limitsDark mode and blocked pictures
  • Dark mode. The logo is the black brand logo. In dark mode some apps show it dim or hidden. A signature added by the server can switch to the white brand logo. Apps remove the code for that switch when you paste, so pasting cannot do it.
  • Blocked pictures. Some apps hide pictures from the web until the reader allows them. Name, phones, email and address always show as text.
  • Phone apps. They use the plain-text version without a logo.
For IT · Optional

One signature for everyone, with the white logo in dark mode.

Exchange can add the same signature to every outgoing message with a mail flow rule. Because the server adds it, no editor strips the dark-mode code. Microsoft's page confirms the rule accepts HTML, inline CSS, images through the IMG tag and per-user tokens such as display name. It lists limits: server signatures do not appear in Sent Items, images cannot be embedded, and PowerShell allows 5000 characters.

  1. Open the Exchange admin center. Go to Mail flow, then Rules. Add a rule that applies a disclaimer.
  2. Press the button below. Paste the template into the rule. Replace the five names in curly brackets with the user tokens from Microsoft's page.
  3. Send a test to an Apple Mail account and an Outlook account, each in dark mode. Check that the white logo shows.

Not yet tested: whether Exchange keeps the style block that holds the dark-mode switch. IT should test one rule on one mailbox first. Do not paste this template into an app's signature box, because the box removes the switch.
